At Tripzen, we are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your data when you use our platform.
About Tripzen — Platform Role
Tripzen is a Software-as-a-Service (SaaS) platform operated by TRIPZEN (PVT) LTD. We provide booking, payment processing, ticketing, and live-tracking software to licensed bus operators in Sri Lanka.
Tripzen is not a transport service provider. The bus services, schedules, fares, and trip operations are owned and operated by individual partner operators. The transport contract for any booking exists between the passenger and the operator who sells the ticket — not between the passenger and Tripzen.
Because Tripzen processes booking and payment data on behalf of partner operators, certain personal information (such as the passenger's name, phone, email, and seat selection) is shared with the relevant operator so they can fulfil the trip. Operator-side use of that data is governed by the agreement we have in place with each operator. Cancellation and refund decisions are made by the operator, not by Tripzen.

Location Information
Tripzen collects location data to power the live-tracking and proximity-alert features. The data we collect, how we collect it, and how it is used differs between our Customer apps and the Tripzen Conductor (Partner) app.
Customer Web & Mobile App
- What: Your device's approximate / precise location while a live tracking page is open.
- When: Foreground only — only while you have the tracking screen visible.
- Why: To draw a route line from the bus to your current position and show an accurate ETA to your stop.
- Control: You can deny the prompt or revoke permission in your phone's settings at any time. The app continues to work without it; only the "distance to your stop" feature is unavailable.
Tripzen Conductor (Partner) App — Background Location
Tripzen Conductor is a B2B operational app installed on bus conductors' phones. To provide live tracking to booked passengers, it collects precise GPS location in the background — including when the phone's screen is locked, the app is not in the foreground, or the conductor is using another app.
- What we collect: Precise latitude, longitude, and timestamp of the bus while a trip is in progress.
- When we collect it: Continuously, every few seconds, only between the moment the conductor taps Start Trip and the moment they tap End Trip. Tracking does not run when no trip is in progress.
- Why: Booked passengers see the live bus position on a map and receive proximity notifications (e.g. "Bus is 1 km away") so they can time their arrival at the pickup point. Without background location, the position would freeze every time the conductor's phone screen turned off — defeating the purpose of live tracking.
- Who we share it with: The Tripzen backend, and from there, only the passengers who hold a valid booking on the active trip. Location is broadcast in real time over a WebSocket and is not stored long-term — only the most recent position is kept on the trip record while the trip is active.
- Retention: Live position is overwritten on every update. We do not build a historical movement profile of the conductor's phone. Once a trip is marked complete, real-time tracking stops and the last known position is no longer broadcast.
- Conductor control: A prominent in-app disclosure is shown before any system permission prompt. The conductor must tap Continue to grant background location, and can decline at any time. Tracking always stops when the conductor taps End Trip, when location permission is revoked in phone settings, or when the app is uninstalled.
- Not used for advertising: Conductor location data is never used for advertising, profiling, or sold to third parties. It exists solely to power live tracking for ticketed passengers of the active trip.

Information Sharing
As a SaaS platform connecting passengers and operators, we share specific personal data with the parties below for narrowly-defined purposes:
- 1Partner Bus Operators: To deliver the trip, the passenger's name, phone, email, seat selection, pickup point, and trip-specific details are shared with the operator who sold the ticket. Cancellation and refund decisions are made by that operator according to their published policy.
- 2Payment Processors (PayHere et al.): Card and bank-transfer details are handled by the regulated payment gateway, never stored on Tripzen servers in raw form. Refunds are returned by the gateway to the same payment method that initiated the booking.
- 3SMS Providers: Phone number and booking reference are passed to SMS gateways purely to deliver booking confirmations and live-tracking notifications. They are not used for marketing without consent.
- 4Legal Authorities: When required by law, court order, or to protect Tripzen's and the partner operator's rights and property.
